Event Programming Guidelines

What should my event include?

The HECW Programming Team will be using the following guidelines to review and approve events:

Alignment with HECW Themes and Locations: Events should align with one of the key themes or topics of HECW and the event schedule. 

Anchor Events Schedule  

  • Sunday, September 14th – Executive Dinner 
  • Monday, September 15th – Opening Ceremonies
  • Tuesday, September 16th - Pilotathon
  • Wednesday, September 17th – Hackathon
  • Thursday, September 18th – Career Fair
  • Friday, September 19th – Closing Ceremonies
Themes and Cross-Cutting Topics
  • Energy & Climate
  • Innovation & AI
  • Finance
  • Agriculture & Food 
  • Health
  • Space
  • Arts
  • Water
  • Policy
  • Workforce 
  • Adaptation & Resilience
  • Community Engagement 
  • Mobility & Transport

Event Types: The event must contribute to the diversity of formats offered during HECW. 

  • Expert roundtables or town halls
  • Networking events (e.g., happy hours, startup summits, pickleball competitions)
  • Hackathons or workshops
  • Panels or forums with subject matter experts
  • Tours of sustainability sites (e.g., LEED buildings, urban farms, etc.)
  • Volunteer opportunities (e.g., clean-up events, tree planting, etc.)
  • Exhibitions (e.g., showcasing art, science, or technology)
  • Community events tied to local climate action

 Agreement with the Unity Commitment & Terms and Conditions

  • Houston Energy and Climate Week was founded on the principle that we need all forms of energy to achieve our energy goals.  Each event will operate in the spirit of inclusion, open minds, sharing, and learning.  Hosts, sponsors, and participants agree to the Unity Commitment and Terms and Conditions.

Public Access

  • Events should aim to be inclusive and accessible to HECW attendees. Consider pricing (e.g., free or low-cost tickets) and accessibility measures.

Quality of Content

  • Event proposals should demonstrate thoughtfulness, clear objectives, and a focus on actionable outcomes (e.g., learning, partnerships, or community impact).
  • Events that are purely promotional or sales-focused will not be approved.

  Avoiding Duplication

  • To ensure diversity, similar events or topics may be bundled or adjusted to avoid duplication within the official HECW calendar. The Programming Committee will coordinate with organizers if needed.
