Volunteer Roles & Responsibilities
Roles may include:
- Registration & Greeters – Welcome guests, check in attendees, hand out badges and programs.
- Session Support – Assist speakers with setup, timekeeping, and audience Q&A.
- Logistics Crew – Help set up/take down materials, signage, and wayfinding.
- Sustainability Ambassadors – Educate attendees on recycling/composting and reduce waste.
- Social Media & Content Support – Capture photos/videos, post updates (with approval).
- Accessibility Support – Guide and assist attendees with disabilities.
Volunteers are expected to:
- Arrive 30 minutes before their shift
- Wear provided volunteer shirts and badges
- Follow the direction of event staff and team leads
- Treat all guests and volunteers with respect
- Stay off phones unless on break or using for event-related purposes
Your assigned schedule will be sent the week prior to the event. General volunteer shifts are:
- Morning Shift: 7:30 AM – 12:00 PM
- Midday Shift: 11:30 AM – 4:00 PM
- Evening Shift: 3:30 PM – 8:00 PM
Please arrive at least 30 minutes before your shift begins.
Dress Code & Conduct- Dress Code: Casual-professional. Volunteer shirt (provided), comfortable shoes. No offensive or political logos.
- Conduct: Be courteous, inclusive, and professional at all times. Any inappropriate behavior will result in dismissal.
- Check in at the Volunteer Hub (location TBD) at the start of your shift.
- Use Slack for real-time updates and team communication.
- In case of emergency, notify a team lead immediately.
- Know the location of exits and first-aid kits at your venue.
- Report lost persons, suspicious items, or safety concerns to your team lead or venue security.
- For medical emergencies, call 911 and alert the nearest staff member.
Help make this event low-waste and climate-friendly:
- Use refillable water bottles (water stations available).
- Encourage guests to recycle and compost appropriately.
- Limit printing and paper usage.
- Carpool or use public transit when possible.
